Sales - This department deals with the customers head-on, it's the front-line within a business. Trained sales staff sell the various goods and services on offer for the business they are representing. The staff will give advice to the potential customers and even potentially encourage them to spend more so that the business is more profitable.
Some tasks and jobs involved:
  1. Staff selling the goods and giving advice to the customers within a store
  2. Sales representatives could even travel to their customers
  3. Telesales staff tries to sell the services via a telephone
  4. Merchandisers display the products strategically

Purchasing - Purchasing sector deals with the purchase of the stock from companies to sell them again afterwards for a profit. This involves companies such as H&M or online shops which buy goods from brands such as Adidas etc. and sell them.

For example: If big brands such as Ralph Lauren or Adidas don't sell their stock, companies such as TK MAXX purchase their stock for a lower price which allows them to sell the stock again at a reduced price to the consumer market.

Manufacturing - This is probably the most important sector of a business...without manufacturing and whatnot, the business wouldn't exist. The sector is responsible for the goods that a business has to offer.
Some of the tasks involved:
  1. Obtaining the necessary resources in order to make the goods
  2. Efficient organization of the goods/resources
For example: If Ford was to have delays within the manufacturing sector, the cars wouldn't get made in time and that would create problems for the company since they wouldn't be able to provide the cars to their customers in time.

Marketing - This particular sector deals with the way a business and their goods and services are promoted. Marketing is behind all the adverts on the TV and radio, billboards, magazine/newspaper adverts etc. This is another very important sector because if the potential customers don't know that a certain product exists, it would be hard for the business to sell their goods.                                                                    Tasks Involved:
  1. Surveying the customers to see how customers feel about certain products and/or the services offered by the business and how they could be improved
  2. Developing new products to meet customer "wants" and demands
  3. Promoting the business, it's services and goods  to make the potential clients aware and interested in them.
For example: If Apple didn't promote their products, people around the world most likely wouldn't know they exist.

Finance - Calculates how much loss or profit a business has made by managing and recording revenue and costs of that business. It helps the business as the people in finance calculate and manage all the money flowing through the business.
Tasks involved:
  1. Setting budgets
  2. Obtaining resources and capital
  3. Calculating and paying wages or salaries
  4. Managing accounts
For example: If a university didn't have a finance sector, they wouldn't be able to or at least would have a lot of problems managing any money and it would be very difficult to do any necessary renovations or improvements on the buildings since the builders wouldn't have a way to be paid in an efficient and appropriate manner.

Administration - This section of the business makes sure that the organization runs smoothly. Without administration, other sectors within a business would fail to meet their tasks and this would create problems for the business on a whole.
Tasks involved are:
  1. Clerical tasks such as answering the phone, writing memo's etc.
  2. Managing the reception desk
  3. Cleaning and maintenance
  4. Security
  5. Health and Safety assessments
  6. Hardware, software and network support/management and more...

For example if Sainsbury's would fail to carry out the necessary Health and Safety assessments and if someone in work would get injured, the company could face charges for failing to meet the legal demands etc.

P5: How the information is used and how it is processed within Dawid's Sports.

Management information systems fro Dawid's Sports.

Management information system allows a business to have an advantage over the competition, by researching relevant information in order to maximise their profit and the efficiency that they have within their business sector.

I am going to use my business (small business game) as an example for the different systems below:

Marketing
I have created reports at the end of each week using the information systems, telling me of my profit, if any. It also informed me about the products, when I could buy certain stock and if they were selling well or not. At this point, I could use this particular system to decide what action to take when trying to make my business more known and profitable.

Sales performance
I can also use the system to look at how my business performs in terms of sales. What sells well and what doesn't? Do I need to bring in more stock or not? Should I reduce price on some items? Such systems and reports can help me decide what action I need to take in order to increase the performance of my sales and the business itself.

Competitors
There weren't any competitors, although if there was, what I would do is gather information on what my competitors sell and at what price, so that I could match the prices for example however needed.

Financial
I can look at my weekly reports and gather information on all the finances going through my business. Such information can be kept in spreadsheets and databases which allow for easy tracking of the profits, loses etc.
By using this system, I can predict if I am going to make a profit or loss for example. I could then take important actions upon that if I make a loss, so that I can then seek financial help if needed.

Human Resources
By using the human resources system, I can see to my employee's needs and what's their working performance. If they are not working well, are unmotivated, I can then take relevant actions to change that.

GAME REPORT: https://drive.google.com/file/d/0B3rvStNkXE4GblZ6SlctYWNINFE/edit?usp=sharing

Valid
If you want the information to
be of use, it needs to be valid
and up to date.

How it relates to a small business?
Any information needs to be valid in a small business. This is because every decision, how big or small, is important. It can decide on whether the business will be successful if the right decisions are taken.

Reliable
“Reliable information is good information!”
you must be able to fall back on your
 information when you need it!

How it relates to a small business?
Information in any business needs to be reliable. In order for a business to be successful, it needs to have good reliable information. For example, if the business has to do with music and such, it has to have reliable information about artists and what is going on in the world of music to avoid giving out the wrong information.

Timely
Good information must be up to date.
There are new theories, new technologies
new methods researched and improved upon
everyday. There’s no good having information
which is not relevant anymore today.

How it relates to a small business?
It is very important to have up to date information. This is because you need to be up to date on various trends and have the latest stock available for example if the business is in retail.

Understandable
The information delivered, needs
to be understood by the targeted
audience. For example, It’s best to
stick to simple basic words so that
everybody can understand what
the point is.

How it relates to a small business?
It is very important to target all audiences if possible so that the business has full potential for development and success, this is why it's crucial that the potential clients can understand the information being delivered. The business could also potentially come off as unprofessional in some cases if the information is hard to understand.

Relevant
If Information that has been collected is not
relevant to what you need to know,
you may as well have no information at all!
The information should stick to the
particular subject/matter and should be
on point so that it saves people time from
reading irrelevant information.

How it relates to a small business?
Good information needs to be relevant. If a business is selling something and is advertising it, whether on a TV, magazine or a billboard, the information on it needs to be relevant, straight to the point. People should know what the product is as soon as they look at it, instead of wondering and looking for the information because it's unclear and irrelevant.

Cost Effective
Information should be cost effective!
If it costs lots of money, it is not efficient nor effective.

How it relates to a small business?
The information also should be cost effective. When you own a small business, any money you spend is important and should be put to good use. If you own a local business, it probably isn't a good idea to spend large amounts of money on advertising when there are other means to do so and for less.

Sufficiently Accurate
if information is not accurate, then the information is useless.
For example if a business has the wrong data/information
about their customers etc. then they won’t be able to get the
correct/accurate strategies and such put in place.

How it relates to a small business?
In a small business, any information should be sufficiently accurate.
For example if a business has the wrong data/information about their customers etc. then they won’t be able to get the correct/accurate strategies and such put in place.

Accessible
It is important to make sure that the information is accessible by everyone who needs to view it.
It should be well presented so that its easy to access and find what you’re looking for.

How it relates to a small business?
The information should be accessible by any person in the business related to that particular information. Such information could be the business strategies put in place for the employees who are tasked to expand the business, finance, information about stock etc. so that the business is operating successfully.
